The Position

Under the supervision of the General Co-Directors and in collaboration with the internal team (development, communications, artistic direction, member relations), the successful candidate will act as the market’s lead coordinator, ensuring that each step is planned, assigned, and delivered on time. They will receive a knowledge transfer from the team that led previous editions (tools, lists, recipes, history).

Registration, Selection and Payments

  • Monitor emails and inquiries through the market’s dedicated email address; respond to questions from exhibitors and members;

  • Follow up on registrations (first round with exhibitors from previous editions, followed by an opening to the general public as needed) and send final reminders;

  • Participate in the selection of 70 to 90 exhibitors with the artistic direction (mid-October), then communicate acceptances and refusals;

  • Follow up on payments (Stripe): send payment links and reminders, with support from the internal team;

  • Coordinate the Children’s Christmas Market: participant list, confirmations, locations, and table assignments.

Spaces, Partners and Logistics
  • Liaise with Port-Royal and logistical partners;

  • Arrange for the rental or loan of tables and chairs (including the City loan request) and follow up on their delivery;

  • Finalize the table layout and exhibitor placement with the artistic direction;

  • Coordinate technical needs (electricity, furniture, room decorations) and signage with the technical team;

  • Handle administrative procedures related to the event (e.g., RACJ gathering permit for alcohol service).

Food Service, Volunteers and Mobilization
  • Oversee the food committee formed with members (preparation, service, purchasing) — the menu and recipes will be provided by the team;

  • Plan and carry out grocery shopping and food service supplies (food, dishware, coffee, equipment);

  • Identify volunteer needs (food service, reception, service), launch the call for volunteers, build the shift schedule (~50 people), and coordinate volunteers on site.

Communications and Budget
  • Support communications follow-up with the internal team and artistic direction (timeline, exhibitor confirmations, setup instruction emails);

  • Contribute to event budget tracking (decorations, food, communications) with the co-directors.

Event Week
  • Coordinate setup (Thursday evening, December 10, and Friday morning, December 11): arrival of tables, exhibitors, and materials;

  • Be present and oversee general coordination during the market (December 11–13), including food service, reception, and assigning team roles;

  • Follow up on teardown and participate in the post-mortem with the team.

Profile

  • Exceptional organizational skills: rigorous attention to deadlines and delivery of assigned tasks;

  • Ability to lead a team: mobilize, delegate, and follow up with volunteers, members, and collaborators;

  • Strong interpersonal skills with artists, members, partners, and the public;

  • Experience in event production or coordination, ideally in a cultural or artistic setting;

  • Autonomy and ability to solve problems quickly in an event context;

  • Comfortable using digital tools (Asana, Stripe, Google Workspace);

  • Knowledge of the craft and contemporary art sectors, an asset;

  • Experience in food service or event food-service management, an asset.

Scope and Conditions

  • Fixed-fee contract of approximately 75 to 95 hours spread from October to mid-December (a few hours per week in the fall), plus a few hours of onboarding at the start;

  • Salary: To be determined based on the candidate’s profile and experience.

  • Peak workload during event week: availability required from December 10 to 13, including Friday evening and the weekend (approximately 40 to 50 hours that week);

  • Service contract (self-employed), invoiced according to an agreed-upon payment schedule;

  • Desired start date: as soon as possible in October 2026;

  • Location: LAB-545, 545 rue Legendre Ouest, Montréal; some preparatory work can be done remotely.
